The news and developments regarding the COVID-19 virus are changing daily and, at least for now, not for the better. What can you do now about the threat to your association’s scheduled meetings and conferences, and what should you be thinking about as you plan for the rest of the year and beyond? Some questions that will be addressed during this timely webinar:
- Do your hotel, convention center, and other meeting contracts contain a force majeure provision that may excuse performance and eliminate cancelation penalties under the contract?
- How should we read and interpret these force majeure clauses – and how are the hotels and convention centers interpreting and acting on them? (You will be very surprised to hear some recent war stories.)
- How will the cancelation and attrition clauses in those contracts apply if you cancel an event, or if you don’t cancel?
- What are your options to try to negotiate your way out altogether or to reduce your penalties?
- What are the pros and cons of canceling now versus waiting longer to cancel or attempt to postpone?
- How do current federal, state and local government declarations, admonitions and bans (e.g., on large gatherings and/or travel) affect your ability to successful execute a force majeure cancelation – and when – and how does the timing and size of your meeting affect your ability to do so, as well as your negotiation strategy?
- What are helpful strategies for communicating with hotels and convention centers about cancelation, postponement, and/or trying to book future meetings with the venue instead?
- If you decide to reschedule the meeting for late summer or later this year, how can you best protect your association in the event the effects of the crisis last longer than anticipated?
- If you have event cancellation insurance coverage, will it apply to make your association whole or will it exclude coverage altogether? What about such coverage going forward?
- What are key tips and best practices for negotiating future meeting contracts?
